SPREADSHEET WORKSPACE
Split Excel Sheets into Separate Files
Free: 50 MB per batch, 1 workbook.
Choose files to get started.
Split Excel sheets into separate files when each recipient needs a particular worksheet, or divide a long table into smaller row batches. CombineSheets exports values as XLSX or CSV and packages the results in one ZIP download. Keep your original workbook: splitting does not preserve its formulas, formatting, or workbook objects.
The regional sample workbook is a useful starting point. North, South, and West each contain eight data rows. A hidden Notes sheet is also present, so review the selection before exporting or sharing anything.
Split Excel sheets by worksheet with an Excel sheet splitter
Choose One file per sheet and select the worksheets you want. Each selected worksheet becomes its own output file. For the regional example, select North, South, and West, and leave the hidden Notes sheet unselected.
With XLSX output, the expected filenames are:
- regions-q1 - North.xlsx
- regions-q1 - South.xlsx
- regions-q1 - West.xlsx
The naming pattern combines the workbook name and worksheet name. Unsafe filename characters are replaced, so inspect the names inside the ZIP rather than assuming every character will be identical to the source tab label. CSV output uses the corresponding CSV extension.
Extract the ZIP and open each file before sending it. Confirm that the North file contains North records, for example, and that no additional worksheet or unintended output has entered the package. Selecting separate worksheets helps prepare distribution files; the final recipient check is still your responsibility.
Split a long sheet by rows
Choose Split by rows when the data is already on one sheet but the resulting file is too long for your next task. Select one worksheet, or use a CSV input, and choose the number of data rows for each part. The header row repeats in every part.
For example, splitting one eight-row regional sheet into parts of three data rows produces parts containing three, three, and two data rows. Each part also has the header. Count data records separately from repeated headers when checking the output.
Names follow a numbered pattern, such as regions-q1 - part 001.xlsx. Keep the part numbers when organizing the extracted files; they help you identify the sequence. The final part can be shorter than the others because it contains the remaining records.
This operation divides records into batches. It does not calculate a subtotal for each part or assign records to teams by the value in a column. If your workbook already has one sheet per team, use the worksheet mode instead.
Choose XLSX or CSV for the next task
Use XLSX if the recipient expects a workbook file. Use CSV if the recipient needs a single text table for an import. Both choices contain values only. CSV does not carry worksheet tabs or workbook formatting, and a spreadsheet app may interpret text differently when opening it.
Text IDs such as 000101 retain their leading zeros in the exported data. When importing CSV into another app, set the ID column to text so that the receiving app does not turn it into a number. Check an ID in each output before sharing the batch.
For a reading copy, consider one PDF per worksheet. Those PDFs rebuild cell values into tables; they do not copy the spreadsheet's print layout. Review their character and cell limits before choosing that route.
Free runs, passes, and device limits
Free splitting accepts one workbook per run and up to 10 output files. A pass supports several workbooks in one run and up to 300 outputs. In a multi-workbook run, the ZIP contains one folder per workbook.
Batch input limits are 50 MB and 30 files free, or 100 MB and 300 files with a pass; the free split mode still permits only one workbook. Merge and split memory guards are 1,000,000 non-empty cells free and 2,000,000 with a pass. Phones use 20 MB and 300,000 non-empty cells per batch for every tier. A device may run out of memory below the stated guards. See pass details for how access time works.
Frequently asked questions
Can I use it as an Excel sheet splitter for one workbook?
Yes. Free runs accept one workbook and up to 10 output files in a ZIP. Select worksheets for separate files, or split one sheet by data-row count. Free input allows 50 MB, with a guard of 1,000,000 non-empty cells; phone limits still apply.
Do formulas keep calculating in each file?
No. Formula expressions become their last saved values. If a saved value is missing, export stops and asks you to recalculate and save in your spreadsheet app. External links and macros are not preserved.
Does splitting preserve the appearance of each sheet?
No. Fonts, fills, borders, column widths, merged-cell layout, conditional formatting, and validation are not preserved. Comments, images, charts, and pivot objects are also lost. Keep the original for layout or editing work.
What should I check before sending the ZIP?
Check the selected sheets, output names, row counts, headers, and a few values. Extract the ZIP first if each person should receive only one file. The team distribution guide walks through that final check.
