SPREADSHEET WORKSPACE
Save Each Sheet as a Separate PDF
Free: 50 MB per batch, 3 selected sheets.
Latin-1 text only. A clean table layout with repeated headers and page numbers.
Choose files to get started.
Save each sheet as a separate PDF when you need a reading copy of worksheet values. CombineSheets creates one PDF per selected worksheet and delivers the files together in a ZIP. The PDFs rebuild the values as tables; they are not copies of your spreadsheet app's print view.
The regions-q1.xlsx sample contains North, South, and West sheets with eight data rows each, plus a hidden Notes sheet. Select the three regional sheets and leave Notes unselected to prepare three separate reading copies.
Save each sheet as a separate PDF after reviewing the selection
Start by checking the worksheet list. A workbook may contain helper tables, summaries, or hidden notes alongside the data you want to share. Hidden sheets start unselected, but you should still confirm exactly which worksheets will become PDFs.
Before export, the tool shows each selected sheet's rows, columns, and estimated page count. Compare those figures with the source. A sheet with unexpectedly many columns may contain data farther to the right than you intended to distribute.
Download the ZIP, extract it, and open each PDF before sending. Confirm that every file contains the intended regional or team records. Keep the original workbook separately if someone will need formulas, workbook objects, or the original design later.
What the PDF layout includes
The output is a table of cell values with a repeated header row on every page and page numbers. You can choose A4 or US Letter paper and portrait, landscape, or automatic orientation.
Landscape can give a table more horizontal room. Very wide tables continue onto additional pages with the first column repeated, so readers can relate values on later pages to the same records. Check that the first column is useful for identifying rows in your source data.
Review the estimated page count before generating a large batch. After downloading, inspect both the first page and later pages. A correct first page does not establish that the rest of a wide table is convenient to read.
What is not reproduced
PDF export rebuilds worksheet values as tables and omits the original print layout, styling and workbook objects, including the following:
- Print areas or manual page breaks.
- Custom headers and footers.
- Fonts, fills, borders, column widths, or other cell styling.
- Merged-cell layout, conditional formatting, or data validation.
- Charts, images, comments, or pivot objects.
- Formula expressions, macros, or external links.
Formula cells contribute their last saved values. If a formula has no saved value, export stops and asks you to recalculate and save in your spreadsheet app. Recalculate before exporting so the reading copy does not carry an old total.
If you need the workbook's exact print design, use the original spreadsheet app's printing workflow. Choose this tool when a newly laid-out values table meets the recipient's needs.
Character support and batch limits
PDF text must use Western European characters in the Latin-1 character set. Sheets containing other scripts, such as Chinese or Arabic, or emoji are stopped with a clear message. A pass does not change that character restriction. Check names and descriptive text as well as the main column labels.
Free PDF batches support up to 3 worksheets. A pass supports up to 100 worksheets per batch. Both tiers have a PDF guard of 20,000 non-empty cells per sheet and 100,000 non-empty cells across the batch.
Input size and file-count limits also apply: 50 MB and 30 files free, or 100 MB and 300 files with a pass. The same PDF input limits apply on phones; the PDF-specific cell guards still apply. Browser memory can run out even below the limits. Splitting a batch into smaller groups may help, but a single sheet must still fit its own guard.
Is the estimated page count a print preview of my workbook?
No. It estimates the rebuilt PDF table. The spreadsheet's print areas, page breaks, and headers do not determine this layout. Inspect the downloaded PDF before sharing it.
Can I send the entire ZIP to each team?
Only if each recipient should receive every included PDF. For separate distribution, extract the ZIP and send just the intended file. Check the content of each file rather than relying only on its name.
What if the recipient needs editable data?
Use worksheet files or row batches for XLSX or CSV outputs. Those exports also contain values only, but the recipient can work with the records in a spreadsheet app. The team handoff guide explains the checks before sending.
